About the Executive Assistant position

We are looking for an enthusiastic Executive Assistant to help us on interesting and challenging assignments in a professional and fast paced environment. The Executive Administrator will provide excellent, comprehensive administrative and HR support to our Cluj based team. The highly-motivated, customer-centric candidate will be responsible for both general executive administrative tasks as well as human resources activities.

Job Description  

  • Maintaining office services by organizing office operations and procedures
  • Helping the team to work effectively by supporting personal relationships
  • Controlling correspondence, scanning, printing etc.
  • Sourcing management: contract review & closing with existing vendors & identifying new ones
  • Maintaining a database of our company anniversaries, birthdays
  • Monitoring staff holidays and absenteeism by managing the attendance sheet
  • Reviewing and approving supply requisitions, assigning and monitoring clerical functions
  • Prepare logistic for anniversaries, team events, office celebrations
  • Advising the Senior Management team on resource requirements in the company
  • Trello accountability boards & reinforce the completion policy
  • Payment distribution, taxes and all types of payments and purchasing
  • Monitoring the protocol stocks and provide refill, adapting the requests on employees’ needs
  • Creating HR specific procedures: Trello boards, Employees Manual, New Induction Manual
  • Performing Recruiting/Hiring/Onboarding/Offboarding/Exits/Performance Review
  • Develop a Retention program/strategy
  • Perform payroll & distribute payslips
  • Prepare accurate site expenses reports
  • HR Admin tasks: people reports, visa applications etc
  • Perform Quality Check on Customer Support agents and supervise the code of conduct implementation
  • Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies

Desired Skills:

This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with all stakeholders. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. The ability to be flexible and change direction at a moment’s notice is critical for success in this role. We work as a global team, dealing with multiple stakeholders across the business and product teams: therefore it is essential to have the ability to work successfully in a team environment and build effective working relationships inside and outside the group.
