Front Office Coordinator | Accounting Firm
ABOUT THE ROLE
We are looking for a proactive, professional, and highly organised Front Office Coordinator — someone who combines the presence of a receptionist, the initiative of a personal assistant, and the responsibility of a project coordinator. This is not a passive front-desk role. You are the first person clients and partners see when they walk in. You coordinate key information flows across the firm, support the partners directly, and take the lead on selected operational projects.
WHAT WE EXPECT
- Fluent English and Romanian.
- Excellent communication skills and a calm, assertive presence.
- Strong organisational skills and the ability to follow up — and follow through.
- Comfortable using Google Workspace (Docs, Sheets, Drive).
- Responsible and discreet.
- Able to switch between roles: host, organiser, assistant, enforcer.
RESPONSIBILITIES
- Welcome all visitors and represent the firm with warmth and professionalism.
- Coordinate couriers, deliveries, mail, and first-line calls.
- Ensure all office supplies and small purchases are handled efficiently.
- Prepare coffee, help set up meetings, and ensure the front office reflects our high standards.
- Follow up with colleagues and escalate when tasks stall (you have authority delegated by the partners).
- Collect internal data from multiple departments and prepare simple reports.
- Manage shared documents and internal tables.
- Assist the partners with logistics.
