What you'll do

  • Assist management departments with their processes and logistics;
  • Complete operational requirements by scheduling and assigning employees; following up on work results;
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends;
  • Contributes to team effort by accomplishing related results as needed;
  • Organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety;
  • Developing intra-office communication protocols, streamlining administrative procedures and inventory control;
  • Monitor procedures for record keeping;
  • Handle a wide range of administrative and executive support related tasks and able to work independently with little or no supervision;
  • Organize office operations and procedures;
  • Coordinate with IT department on all office equipment;
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time;
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Provide general support to visitors;
  • Ensure that results are measured against standards, while making necessary changes along the way;
  • Determine current trends and provide a review to management to act on;
  • Responsible for developing standards and promoting activities that enhance operational procedures;
  • Ensure security, integrity and confidentiality of data;
  • Review and approve office supply acquisitions;
  • Partner with HR to maintain and improve office policies as necessary;
  • Assist in the Onboarding process for new hires;
  • Plan in-house or off-site activities, like parties, celebrations and team building activities;

What you'll definitely need

  • Proven office management, administrative or assistant experience;
  • Excellent written and verbal English communication skills;
  • Excellent time management skills and ability to multitask and prioritise work;
  • Attention to detail and problem solving skills;
  • Strong organizational and planning skills in a fast-paced environment;
  • Knowledge of accounting, data and administrative management practices;
  • Computer skills and knowledge of office software packages;
  • A creative mind with an ability to suggest improvements;
